Instructor/Mentor handover process

Skill programs

Trigger: An instructor/mentor change is initiated due to a parent request, instructor/mentor resignation, or a decision by edvi that a change is necessary.

At edvi, we understand that consistency plays a key role in your child’s skill development. To ensure a smooth and effective transition when an instructor/mentor change is required, we follow a structured handover process that prioritizes your involvement and maintains the quality of your child’s learning experience.

1. Instructor/Mentor Suggestion

Academics Team:

Our academics team carefully selects a new instructor/mentor based on feedback from the previous instructor/mentor and your child’s learning style, pace, and skill level. This ensures the suggested instructor/mentor is well-suited to continue your child’s learning journey without disruption.

2. Demo Session with Suggested Instructor/Mentor

Demo Session:

We arrange a demo session with the suggested instructor/mentor as soon as we receive confirmation of the student’s availability. This allows you and your child to evaluate the instructor/mentor’s teaching style and compatibility.

Feedback:

Your feedback after the demo session is essential in deciding whether the instructor/mentor will continue. We only proceed with your approval.

3. Finalization of New Instructor/Mentor

Parent/Student Decision:

Based on your evaluation, you will have the final say in confirming the new instructor/mentor. We respect your decision and ensure the chosen instructor/mentor is fully briefed on your child’s learning needs and progress.

4. Handover Documentation

Outgoing Instructor/Mentor:

The current instructor/mentor prepares a detailed handover document including your child’s progress, strengths, areas of improvement, skills covered, project work (if any), and upcoming learning goals.

New Instructor/Mentor:

The new instructor/mentor receives this document to ensure they are fully prepared to continue your child’s skill development seamlessly.

5. Introduction and Transition

Formal Introduction:

Once the new instructor/mentor is finalized, we introduce them to you formally. The instructor/mentor then continues with the planned sessions, guided by the handover document to maintain continuity.

6. Initial Monitoring and Feedback

Monitoring:

During the first few sessions, our academic team closely monitors the transition to ensure it is smooth and effective.

Parent Feedback:

We will reach out after the initial sessions to gather your feedback and address any concerns.

7. Ongoing Support

Continuous Support:

Even after the transition is complete, we remain available to support you and your child, ensuring the new instructor/mentor continues to meet your expectations and supports your child’s skill development goals.

Conclusion

Our structured instructor/mentor handover process at edvi is designed to make any necessary changes smooth and stress-free. We prioritize your child’s learning continuity and your involvement, ensuring they continue to receive high-quality skill-based education.
